Check and lock your employees' worked hours

With week closing you review your employees' tracked hours each week and close the week, like approving a timesheet, so nobody can change the hours afterwards.

Do you want to check your employees' worked hours and make sure they don't change afterwards? As an admin, you do that with week closing. You need the Time tracking module for this.

Step 1 - Check the tracked hours

On the Week closing page you see for each employee how many hours were accounted for in a week, and how many it should have been. That way you quickly see where something is off.

To check the hours:

  1. Go to Time tracking in the menu

  2. Click Week closing

  3. Check which week is shown at the top, and use the arrows to go to the week you want to check

  4. Compare each employee's hours with what you expect

  5. Click a day to review the hours tracked that day

The Week closing page showing each employee's hours per day, the week total, the required hours and the plus and minus hours

For each employee you see:

  • The hours per day

  • Week total: the tracked hours, leave and attendance of that week added together

  • Required: the hours from the schedule, or the contract hours if there is no complete schedule

  • +/-: the difference between the week total and the required hours

Do you also see the Settled with column? It shows which balance the employee's plus and minus hours are settled with.

Step 2 - Close the week

If the hours are correct, you close the week. This locks the hours: for that employee, nobody can track or change hours in that week anymore, not even an admin.

To close the week:

  1. At the end of the row, tick the employees you want to close, or tick everyone at the top of the column

  2. Click Close week

  3. Click Yes, close week

The closed employees now have a lock. At the top of the page you see Week closed once the week is closed for everyone, and Week not yet closed otherwise.

If you can't close an employee

Sometimes you can't tick an employee. If there is a warning, hover over it to see the reason. These are the possible causes:

  • The employee still has a timer running. Once the timer is stopped, you can close the week

  • Hours, a schedule, leave accrual or work locations are registered outside the employee's employment. Adjust this first through the link in the warning

  • The required hours can't be determined, because the schedule isn't complete and the contract hours aren't the same for every day. Enter the number of hours yourself under Required, and you can tick the employee

Undo a week closing

Does something still need to change in a closed week? Then you undo the week closing first. Hours that have been settled with the employee's balance are then no longer counted.

To undo a week closing:

  1. Go to Time tracking in the menu, click Week closing and use the arrows to go to the week

  2. Click the lock at the end of the employee's row. If the week is closed for everyone, you can also click the lock at the top of the column to undo all week closings

  3. Click Undo

After that you can change the hours again. Close the week again afterwards, so the hours are locked again.
